Get started with AI Scribe

AI Scribe is an AI-powered documentation tool built into the Vetster platform. It generates a structured DAP (Data, Assessment, Plan) draft from your appointment transcript so you spend less time on paperwork and more time on patient care.

Before you begin

  • AI Scribe is available on the Vetster web app only.

  • AI Scribe generates notes in English only. If non-English content is detected in the transcript, no summary will be generated.


How AI Scribe works

After each virtual consultation, AI Scribe captures your appointment transcript and organizes it into a structured DAP draft. It also generates an Appointment Notes section that flags:

  • Discrepancies between the transcript and the patient profile

  • Ambiguous clinical statements that need your attention

Important: All AI-generated drafts are starting points, not finished records. You must review, edit, and finalize every note before it is considered complete. Clinical accuracy and compliance remain your responsibility.


Set up your preferences

  1. Log in to the Vetster web app at app.vetster.com.

  2. Navigate to Account Settings.

  3. Select your preferred AI Scribe documentation style.

  4. Choose between Standard or Detailed output.

The Detailed setting may include suggested differential diagnoses, expanded clinical reasoning, and a patient status statement.


Use AI Scribe in an appointment

  1. Log in to the Vetster web app and open your next appointment.

  2. Conduct your consultation as usual.

  3. Close the video window when the appointment ends.

  4. Wait for your DAP draft to appear — it will be ready shortly after the session ends.

  5. Open the draft and review the Appointment Notes section first to check for flagged discrepancies or missing information.

  6. Review each section of the DAP — Data, Assessment, and Plan — and edit as needed.

  7. Verify all medication details, if applicable: drug name, dose, route, frequency, and duration.

  8. Confirm that any informed consent discussions are accurately represented.

  9. Finalize the record when you're satisfied it reflects your clinical reasoning.

Caution: Finalizing a record makes it part of the patient's medical file. Do not finalize until your review is complete.


Get better drafts: tips for during your appointment

AI Scribe can only document what it hears. The clearer you communicate during the consultation, the more useful your draft will be.

Verbalize your exam findings

State observations aloud, even ones that feel obvious in the moment:

  • "On video, respiratory effort appears normal."

  • "Gait appears mildly stiff in the left hind limb."

  • "Patient is bright, alert, and responsive throughout."

When asking the owner to assist with the exam, make the source of the observation clear:

  • "Can you look at your pet's gums and tell me if they are bubblegum pink?"

State your clinical reasoning explicitly

AI Scribe summarizes what was said — it doesn't reconstruct your decision-making. Be direct about what you're ruling in or out and why:

  • "Most likely allergic dermatitis based on the history and seasonal pattern."

  • "Given the normal appetite and absence of diarrhea, pancreatitis is less likely."

  • "We discussed bloodwork, but elected to monitor for 24 hours given mild clinical signs."

Be specific about medications

State the full details aloud so they're captured accurately:

  • "We'll start Apoquel at one 16 mg tablet orally twice daily for 14 days."

Important: Transcription errors can occur — especially with similar-sounding drug names or unclear audio. Always verify prescription details during your review.


Edit or regenerate a draft

If a draft needs significant changes:

  1. Open the DAP draft after your appointment.

  2. Edit any section directly, or select Regenerate to generate a new draft.

You can regenerate a summary up to two times. You can also discard the draft entirely and write the record manually.


Give feedback on AI Scribe

Your feedback helps improve the tool over time.

  1. Open a finalized or draft DAP.

  2. Select the thumbs up or thumbs down icon on the draft.


What happens next

Once you finalize your DAP, it becomes part of the patient's permanent medical record on Vetster. Future appointments with the same patient will include this record as context.
